Challenge
The district faced significant challenges with outdated reporting tools within PowerSchool, particularly around English Learner (EL) tracking, Average Daily Attendance (ADA) reporting, and alert systems to support key student programs.
Before partnering with us, their internal processes were heavily manual, leading to inefficiencies such as:
- Manual data entry with limited automation
- Time-consuming generation of attendance and EL reports
- Difficulty identifying students in special programs like Homeless, Foster, and Special Education
Solution
We developed a series of PowerSchool-compatible enhancements designed to automate data workflows, improve visibility, and streamline reporting.
Key Implementations Included
1.
English Learner (EL) Report Update
An enhanced English Learner reporting module was created to simplify data tracking and provide actionable insights.
Features included:
- Link to CA Transcript accessible from the Start page navigation
- Guardian pages displaying the student’s state_studentNumber in the navigation panel
- New Section EL Details report with a sub-report for Section Student EL Details
- Summary metrics for EL, EO, and RFEP students — clickable totals displaying student lists with demographic details
- Improved data visualization for EL metrics such as “2/10” format to represent 2 EOs and 10 RFEPs

Average Daily Attendance (ADA) Report
We implemented a new ADA reporting tool allowing year-to-year data comparisons:
- Ability to select a specific school day and view ADA across multiple school
- Column-based comparison format displaying attendance trends
- Automatic calculation of chronically absent students per school
- Fully automated generation — eliminating the need for manual pivot tables

Program Enrollment Alerts
Custom PowerSchool alerts were created to help staff quickly identify students in key programs:
- CALPADS Foster Program Enrollment Alert
- CALPADS Homeless Program Enrollment Alert
- Fresno County Special Education Program Alert – identifies students attending district schools but enrolled under the county program
These alerts replaced manual searches, enabling faster intervention and support for at-risk students.
